About the Role
We are seeking a dedicated and detail-oriented Executive Assistant/Personal Concierge to support the President of Mid-Atlantic Mechanical. This role requires excellent organizational skills, a high level of integrity, professionalism, and confidentiality .

Key Responsibilities

  • Manage the executive’s calendar, including scheduling appointments and prioritizing sensitive matters.
  • Reading all emails and prioritizing crucial correspondence. Responding to messages and reviewing emails with the President for swift and appropriate replies.
  • Organize and coordinate meetings as needed.
  • Handle general office duties to support day-to-day operations within a mechanical contracting and construction realm.
  • Maintain comprehensive and accurate records.
  • Answer phone calls and emails in a polite and professional manner.
  • Draft written correspondence via email or regular mail.
  • Maintain professional relationships with Mid-Atlantic’s longstanding business contacts.

Personal Concierge Expectations
The President resides on a working farm, and the successful candidate must be comfortable assisting with both professional and personal tasks, which may include:

  • Traveling to the farm as needed for on-site support.
  • Coordinating dog vet visits, boarding and ensuring pet care is up to date.
  • Managing medical appointments and monitoring prescription refills.
  • Handling family gift selection and special occasion planning. Planning family holidays and parties, including logistics and itineraries.
  • Maintaining a meticulous, integrated executive and personal calendar.
  • Arranging travel accommodations for both business and personal needs.
  • Assist the President with the seamless organization and execution of his day-to-day activities.

What You’ll Bring

  • Minimum of five years of experience as an Executive Assistant. Mechanical contracting or construction industries are a huge plus!
  • Must live within 20 miles of Columbus, NJ
  • College degree strongly preferred
  • A down-to-earth disposition and upbeat attitude
  • Exceptional ability to multitask and remain calm under pressure.
  • Unwavering integrity, professionalism, and confidentiality.
  • Expert in Microsoft Office Suite and Zoom meetings.
