Executive Assistant
Millennium Physician Group
Full Time (Monday-Friday 8AM-5PM)
The Executive Assistant III is responsible for providing exceptional administrative and strategic support to ensure the seamless operation of executive offices. In this role, you will act as a critical liaison, efficiently managing schedules, coordinating high-level meetings, and facilitating effective communication between executives and various stakeholders, both internal and external. This position offers a unique opportunity to contribute to our strategic initiatives and support the overall mission of the organization.
Responsibilities
•Efficiently coordinate and maintain the schedules of C-suite executives, prioritizing appointments and balancing competing priorities to maximize their time.
•Schedule and organize meetings, conferences, and events, including preparing comprehensive agendas, taking detailed minutes, and following up on actionable items to ensure timely completion.
•Serve as the primary point of contact for internal and external communications for C-suite leaders, managing email correspondence, phone calls, and written communications professionally and discreetly.
•Coordinate complex domestic and international travel logistics, including transportation, accommodations, and itineraries, ensuring all travel details are meticulously organized.
•Oversee and manage expense reports and budget tracking, maintaining accurate financial records.
•Prepare high-quality presentations, reports, and supporting materials for meetings and strategic initiatives, ensuring clarity and professionalism.
•Assist with the tracking of project deadlines and milestones, working closely with stakeholders to facilitate the completion of organizational goals.
•Work seamlessly with the Chief of Staff and other departmental leaders to ensure smooth information flow and collaboration across the organization.
•Organize and coordinate department events, meetings, and team-building activities that foster engagement and collaboration.
•Handle sensitive organizational information with the utmost discretion, always maintaining confidentiality.
•Conduct research and provide insightful analysis to support strategic initiatives and informed decision-making processes.
•Serve as a point of contact for internal and external stakeholders, representing the C-suite with professionalism and integrity.
•Demonstrate excellent guest service to internal team members and patients.
•Perform other related duties as assigned.
Qualifications
•Bachelor's degree in business administration, communications, technology or a related field.
•5+ years of experience in an Administrative Assistant role
•5+ years of experience supporting C-level executives, especially in Technology
•Exceptional organizational and time-management skills, with keen attention to detail.
•Outstanding written and verbal communication skills, with the ability to interact effectively with diverse stakeholders.
•Proficiency in Microsoft Office Suite and experience with project management tools.
•Demonstrated ability to handle multiple priorities in a fast-paced environment.
•Strong analytical skills and problem-solving abilities.
•A commitment to maintaining confidentiality and exercising sound judgment.
•Ability to work independently in a fast-paced, cross-functional environment.
Physical Demands
•Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull, or otherwise move objects. Repetitive motion. Substantial movements (motions) of the wrists, hands, and/or fingers. The worker must have close visual acuity to perform an activity such as: preparing and analyzing data and figures; transcribing; viewing a computer terminal; extensive reading. Ability to lift to 15 lbs. independently not to exceed 50 lbs. without help.
