Job Summary


Galapagos Federal Systems LLC is looking for an enthusiastic, well-qualified individual to fill the senior level Administrative Assistant position and to join our team of qualified, diverse individuals in Maui, Hawaii.


The Executive Administrative Assistant supporting the Government Customer is responsible for assisting on a diverse set of matters and projects. This is a fast-paced role with a variety of tasks associated that necessitate someone with high agility, professionalism and being comfortable in a rapidly changing environment.

• 5-8 years as an Executive Administrative Assistant
• Coordinate Executives' schedules, including travel
• Create PowerPoint presentations, Word docs, Excel spreadsheets
• Serve as gatekeeper for Executives' time and info
• Maintain complete confidentiality
• Anticipate and resolve schedule conflicts
• Maintain key databases and prepare reports
• Assist in project management: update plans, schedule meetings, interface with project groups
• Plan and coordinate meetings/gatherings
• Understands Executives' needs and works to meet them
• Ability to organize, prioritize and meet deadlines
• Capable of conveying complex information in a simplistic manner

Education / Certifications

• Bachelor's Degree in a related discipline. Relevant work experience and training may be considered in lieu of a degree, like Office of Personnel Management's (OPM) Crediting Combinations of Education and Experience standard

Security Clearance


Must be a U.S. Citizen. A high-level Department of Defense active security clearance may be required. Applicants selected will be subject to a security investigation and may need to meet eligibility requirements for access to government information.



Physical Requirements


Work may involve sitting or standing for extended periods of time and typing and reading from a computer screen. The candidate must have enough mobility, including bending, reaching, and kneeling, to complete daily duties in a prompt and efficient manner and that may include lifting to thirty pounds, as necessary.
