Job Description

San Francisco-based UHNW entrepreneur is looking for a Chief of Staff to manage all aspects of his personal and family life. Oversee household staff of 6 handling hiring, offboarding, performance management, and compensation. Manage complex calendars, book travel, plan events, and execute ad hoc projects. You will also oversee financial operations and cultivate relationships with key vendors, financial contacts, banks, attorneys, and other business partners. Someone who is a strategic thinker with proven experience in building a family office and who thrives in a dynamic, high-energy environment. Must be based in the Bay Area to meet with the Principal at his home in San Francisco, especially during the initial ramp-up period. 200-270K+ DOE + benefits!

Responsibilities:
  • Serve as the Principal's liaison for all staff-related matters, ensuring efficient communication and execution of the principal's directives.
  • Partner with the Principal's business assistant to ensure personal and professional commitment and priorities align.
  • Evaluate the performance of current household operations and develop a scalable, flexible mode to accommodate growing, complex needs while proactively addressing future challenges.
  • Manage and lead the entire family office team and contractual employees, including hiring, training, performance management, and compensation.
  • Project manage and prioritize tasks amongst staff and contractors through software tools like Asana.
  • Develop and implement HR policies and procedures for household staff.
  • Oversee all financial operations, including controls, accounting, budgeting, reporting, and allocation of funds across lifestyle, business, and dependent expenses.
  • Oversee and develop budgets for household operations, projects, and capital expenditures.
  • Provide monthly financial and project progress reports to principals, with constant improvement through soliciting feedback on structure and format.
  • Oversee transitions/changes and implement sound judgment when dealing with conflict resolution.
  • Coordinate and manage high-level meetings, travel arrangements, and special events for the family.
  • Lead and oversee strategic and construction projects from conception to completion, managing budgets, timelines, and collaboration with cross-functional teams.
  • Negotiate contracts and manage relationships with external vendors, service providers, and advisors.
  • Provide strategic support on ad hoc projects such as property and vehicle acquisition, home renovations, tax optimization, and residency planning across multiple markets.
  • Ensure the security, confidentiality, and privacy of the family and their assets.
Qualifications

  • 5+ years of experience in an operational role within a family office or similar high-net-worth environment.
  • Exceptional problem-solving skills and the ability to be resourceful in finding solutions to complex issues.
  • Excellent interpersonal and communication skills, with the ability to interact effectively with high-net-worth individuals, family members, and diverse staff. Thorough understanding of human resources and employment best practices.
  • Highly organized and detail-oriented.
  • Calm under pressure and able to manage multiple high-priority tasks simultaneously. Flexible and adaptable to changing priorities.
  • Proactive and able to anticipate needs before they arise.
  • Demonstrated experience in project management, particularly in areas such as real estate acquisition and development, as well as construction and renovation.
  • Strong financial acumen is desired with a background in finance, accounting, or business management.
  • In-depth knowledge of tax laws, residency requirements, and wealth management strategies is a huge plus!
  • Ability to maintain the highest level of discretion and confidentiality. Trustworthy and always acting in the best interest of the principal.
  • Bachelor's degree required; MBA or relevant advanced degree preferred.
